How to use the monthly timesheet
Pick the month, then type the in and out times and the unpaid break minutes for each day you worked. Days off stay blank, and a shift past midnight counts on the day it began. Under Workweek and overtime, set the day your employer's workweek starts and, when the month begins partway through a workweek, the hours you worked in it before the 1st. Add an hourly rate for gross pay. Excel saves each month you have filled in as its own sheet with formulas, and Print / PDF gives a paper copy with lines to sign.
Paid twice a month? The semi-monthly timesheet calculator splits the month at the 15th. For a blank monthly sheet to fill in by hand, use the time card template.
Work hours in a month
At 40 hours a week, a year has 2,080 work hours, so a month averages 173:20, or 173.33 hours (2,080 ÷ 12). Single months vary: each one holds 20 to 23 weekdays in both 2026 and 2027, which is 160 to 184 hours on 8-hour days before holidays.
| Month | 2026 | 2027 | ||
|---|---|---|---|---|
| Mon–Fri | Hours | Mon–Fri | Hours | |
| January | 22 | 176 | 21 | 168 |

| March | 22 | 176 | 23 | 184 |
| April | 22 | 176 | 22 | 176 |
| May | 21 | 168 | 21 | 168 |

Hours are 8 for each weekday, with federal holidays left in.
Overtime in a month that splits workweeks
Most months start partway through a workweek, and overtime is decided for each workweek on its own, a fixed and recurring seven-day period (29 CFR 778.104 and 778.105). Hours are never averaged over the month, so the same monthly total can carry more or less overtime depending on how it falls across the workweeks. The timesheet groups the month's days by workweek and adds the hours from before the 1st to the first one.
October 2026, with workweeks that run Monday to Sunday and a rate of $22 an hour. Every weekday is 7:00 AM to 3:30 PM with a 30-minute lunch, 8:00 of work, and you also work 7:00 AM to noon (5:00) on Saturday, October 3 and Saturday, October 17. You had already worked 24:00 on September 28, 29 and 30.
- Sep 28–Oct 4
- 21:00 + 24:00 in September: 5:00 overtime
- Oct 5–Oct 11
- 40:00: no overtime
- Oct 12–Oct 18
- 45:00: 5:00 overtime
- Oct 19–Oct 25
- 40:00: no overtime
- Oct 26–Nov 1
- 40:00: no overtime, goes on into November
- Hours in October
- 186:00 = 176:00 regular + 10:00 overtime
- Gross pay at $22 an hour
- 176 × $22 + 10 × $33 = $4,202.00
The first workweek reaches 40 hours only because the September days count toward it, and its overtime belongs on October's timesheet because the week ends on Sunday, Oct 4. The last workweek already has 40 hours by Friday, so any time worked on Sunday, Nov 1, would be overtime, paid with the November pay period in which that week ends (29 CFR 778.106).
Monthly salary and the regular rate
A nonexempt employee on a monthly salary is still owed overtime. Under 29 CFR 778.113, paragraph (b), the monthly amount becomes a weekly one by multiplying by 12 and dividing by 52, and the weekly amount is divided by the hours the salary is meant to cover.
$3,500 a month for a 40-hour week.
- Weekly salary
- $3,500 × 12 ÷ 52 = $807.69
- Regular rate
- $807.69 ÷ 40 = $20.19 an hour
- Each overtime hour
- at least 1.5 × $20.19 = $30.29
The same paragraph lets employer and employee agree on another method: the monthly salary divided by the working days in the month, then by the hours of the normal workday. That rate moves with the calendar. In February 2027, with 20 weekdays, $3,500 works out to $21.88 an hour on 8-hour days; in March 2027, with 23, to $19.02. The rate can never fall below the minimum wage.
How often states require paydays
In the Department of Labor's table of state payday requirements, monthly is the only frequency listed for Colorado, Delaware, Idaho, Kansas, North Dakota, Oregon, South Dakota, Washington and Wisconsin. Other states list monthly paydays only for some employees, such as executive, administrative and professional staff in Illinois, Nevada, New Mexico and Virginia. The table lists no rule for Alabama and Florida.

Questions
How many work hours are in a month?
173.33 on average at 40 hours a week: 2,080 hours a year divided by 12. A given month in 2026 or 2027 has 20 to 23 weekdays, so 160 to 184 hours on 8-hour days.
Is overtime calculated per month?
No. Federal overtime is counted per workweek, so the hours of a month are split into its workweeks and each one is checked against 40 (29 CFR 778.104).
Which month's pay includes overtime from a week that crosses two months?
Generally the pay for the period in which the workweek ends. When the amount cannot be worked out by then, it is due as soon as practicable and no later than the next payday after that (29 CFR 778.106).
How do I turn a monthly salary into an hourly rate?
Multiply by 12, divide by 52, then divide by the weekly hours the salary covers: $3,500 a month for 40-hour weeks is $20.19 an hour (29 CFR 778.113).
Can an employer pay wages once a month?
It depends on the state. The DOL's table lists monthly paydays as the only frequency in 9 states, and semi-monthly or more frequent paydays for most of the others. See the state list above.
